In compliance with Republic Act No. 10173, otherwise known as the
Data Privacy Act of 2012, and its Implementing Rules and Regulations,
the Department of Education (DepEd) affirms its commitment to protect and safeguard
all personal data collected through this Human Resource Information System (HRIS).
1. Collection of Personal Information
By registering in this system, you voluntarily provide personal, employment,
and work-related information required under the Civil Service Commission (CSC)
Personal Data Sheet (PDS) and other relevant HR records. The personal data collected
may include, but is not limited to, the following:
a. Personal Information
- Full name (first, middle, last name, extension if any)
- Date and place of birth
- Sex and civil status
- Citizenship and dual citizenship details
- Residential and permanent addresses
- Contact information (telephone, mobile number, email address)
- Height, weight, and blood type
- Government-issued identification numbers (GSIS, SSS, PhilHealth, Pag-IBIG, TIN)
b. Family Background
- Spouse’s name, occupation, employer, and contact information
- Names and details of children
- Names of parents, including mother’s maiden name
c. Educational Background
- Levels of education attained
- Names of schools attended
- Period of attendance
- Degrees, units earned, and honors received
d. Civil Service Eligibility
- Type of eligibility
- Rating, date, and place of examination or conferment
- License number and validity, if applicable
e. Work Experience
- Employment history in government and private sector
- Position titles, agencies/companies, and employment dates
- Salary grades, employment status, and appointment details
f. Voluntary Work and Training Programs
- Participation in voluntary work or civic organizations
- Learning and development programs, seminars, and workshops
g. Other Relevant Information
- Skills, non-academic distinctions, and professional memberships
- Information on disabilities, solo parent status, or other CSC-required disclosures
- Administrative or legal disclosures as required under the PDS
All personal information collected is limited to data that is necessary,
relevant, and required for official human resource management and legal compliance.
2. Purpose of Data Processing
Personal data shall be processed strictly for legitimate government purposes,
including employee identification, HR administration, payroll and benefits,
attendance and performance monitoring, and compliance with applicable laws.
3. Data Protection and Security
DepEd implements organizational, physical, and technical security measures
to protect personal data from unauthorized access, disclosure, alteration,
loss, or destruction.
4. Data Sharing and Disclosure
Personal data shall not be shared with third parties without consent,
except as required or authorized by law or for official inter-agency coordination.
5. Data Retention
Personal data shall be retained only for as long as necessary and disposed of
securely in accordance with records management and data privacy policies.
6. Rights of the Data Subject
Data subjects have the right to be informed, access, correct, object to processing,
and file complaints in case of data privacy violations.
